Clinical Administrative Coordinator

We are seeking a experienced Clinical Administrative Coordinator with at least 3-5 years of experience.

Under the supervision of the Director of Nursing, the Clinical Administrative Coordinator is responsible for the efficient and effective operational support of the nursing department in Skilled Nursing and/or Assisted Living. This role encompasses a broad range of duties including staff scheduling, supply management, expense reporting and quality assurance. This role requires a strong attention to detail, organizational skills, and the ability to multitask.

Essential Duties

Staff Scheduling:

· Develop and maintain staff schedules to ensure adequate coverage.

· Fill open shifts, manage call-ins, and implement time-off requests.

· Ensure timesheets are complete for payroll

Supply Management:

· Order, organize, and maintain inventory levels of supplies and medical forms weekly.

· Notifies Director of Nursing of inventory needs and orders supplies.

· Track item usage and submit monthly reports for resident billing.

Expense Reporting:

 · Code and submit departmental invoices for processing.

Quality Assurance:

 · Ensure adherence to regulatory standards by assisting with audits of resident assessments and charts, maintaining accurate resident records and managing required training and certifications.

Compliance and Records Management:

 · Thin resident charts, close records, and ensure timely completion and signatures of provider documentation according to guidelines.

 · Verifies form completeness and accuracy of required signatures.

· Audit physician and nursing documentation each month for proper and timely signatures.

 · Implementation and oversight of the record management, storage, retention and destruction for the medical records maintained on the unit.

 · Reinforce and repair any chart documents to prevent items from being lost.

 · Shred any documents that can be destroyed to maintain confidentiality.

Administrative Support:

· Schedule and prepare for QAPI and meetings, including agenda and minute-keeping

· Ensures charts are available for new admissions and room is ready for the resident (including name on door)

· Updates CNA care sheets as needed

· Updates and distributes resident census weekly

· Maintains organization of nursing station.

· Manages incoming telephone calls at nurse station, particularly at mealtimes.

 · Assist with creating, typing and printing forms and spreadsheets for the unit.

· Maintain bulletin boards in medication room and break room.

Requirements:

  • GED or High School Diploma
  • Minimum three years long term care experience (stable job history preferred)
  • Current State Licensure with no findings
  • Clear background check and drug test, TB tests.
  • Candidates must be able to lift, push and pull up to 50 lbs. and be able to work holiday and weekends.
  • Ability to commute/relocate
